Every email account on the Email Accounts page shows three status indicators: the Activity toggle, the Connection Status badge, and the Warmup Status badge. Understanding these helps you quickly identify accounts that need attention.
The first column shows a toggle button that controls whether the account is active or paused.
Button | State | Meaning |
|---|---|---|
![]() | Active | Account is enabled - sending campaigns and warmup emails. Click to deactivate. |
![]() | Inactive | Account is paused - no emails will be sent. Click to re-activate. |
![]() | Disabled | Account has a connection problem (Disconnected or Lost OAuth). Fix the issue before activating. |
Deactivating an account immediately stops all sending, including warmup. Reactivating resumes normal operation.
The Connection column shows the overall operational state of each account.
Badge | Meaning |
|---|---|
![]() | Account is fully connected and ready to send. |
![]() | Account is connected but DNS records are incomplete (score below 60). Fix your DNS records before sending. |
![]() | We are currently running a connection test. Wait for it to complete. |
![]() | Account is being reconnected. |
![]() | Connection test failed. SMTP or IMAP credentials are wrong, or the server is unreachable. |
![]() | OAuth token expired or was revoked (Google/Microsoft accounts). Reconnection required. |
![]() | Account has been manually deactivated. No emails will be sent. |
The Warmup column shows the current warmup state when warmup is enabled.
Badge | Meaning |
|---|---|
![]() | Warmup is in progress. The number shows which day of the warmup initial sequence the account is on. |
![]() | Initial warmup has finished. The account is now in maintenance mode, keeping a healthy balance of total daily sent emails. |
![]() | Warmup was auto-paused due to an issue with your account. Hover on badge for details. |
![]() | Warmup is not enabled for this account. |
The most common cause is incorrect credentials or server settings.
Wrong password - Verify your SMTP/IMAP credentials.
Incorrect host/port - Double-check against your provider's documentation.
SMTP AUTH disabled - For Microsoft 365, SMTP AUTH must be enabled by an admin. See Connect a Microsoft Account.
The OAuth token is no longer valid. Both sending and receiving stop.
Password changed - Changing your Google or Microsoft password invalidates the token.
Admin revoked access - Your IT admin removed MailBeast from approved applications.
Token expired - Rare, but can happen with conditional access policies.
Fix: Click the Reconnect button in the Quick Fix column to re-authenticate. See Reconnecting Disconnected Accounts.
The account is connected, but your domain's DNS records need attention.
Fix: Go to the account's Overview tab to see which DNS records (SPF, DKIM, DMARC, MX) are missing or misconfigured. See DNS & Infrastructure.
Warmup was automatically stopped to protect your sender reputation. Common reasons:
DNS records missing - Add MX and SPF records, then click Resume.
Authentication failed - Reconnect (OAuth) or edit credentials (Custom SMTP).
Bounce issues - Too many bounces detected. Check account settings, then Resume.
Provider blocked - Your email provider rejected outgoing messages due to a policy violation.
When accounts need attention, a Quick Fix button appears in the table:
Reconnect - For Google/Microsoft accounts with OAuth issues. Starts the OAuth flow again.
Edit Credentials - For Custom SMTP accounts with authentication failures. Opens the credential editor.
Resume Warmup - For accounts with paused warmup after the issue has been resolved.
Account Health Score Explained - Connection status is one part of overall account health.
